What's the best invoicing software for freelancers in Switzerland?
For freelancers and sole proprietors, Magic Heidi is the lean choice: QR invoices, VAT, automatic payment reminders and AI receipt scanning in one app, no training needed. Is there free invoicing software for Switzerland?

Invoicing software, billing software or invoice program: what's the difference?
None. All three mean a tool to create, send and manage quotes and invoices, online or as an app. Invoicing software doesn't produce a balance sheet. For sole proprietorships under CHF 500,000 in revenue, simplified bookkeeping is enough; more on that under accounting software.
Does Magic Heidi create valid QR invoices?
Yes. Every invoice carries the Swiss QR payment slip to the SIX standard, with IBAN or QR-IBAN, reference, amount and the structured address that's been mandatory since November 2025. You enter your bank details once and there's nothing else to set up. Isn't an invoice template enough?
For two invoices a year, yes, and we have a free invoice template for that. Once you invoice regularly, charge VAT or track payments, Word and Excel cost you more time than CHF 24.99 a month. Invoicing software numbers, calculates and reminds for you.
Can I write invoices without VAT?
Yes, most freelancers start that way. Under CHF 100,000 in yearly revenue you're not liable for VAT (Art. 10 Swiss VAT Act) and Magic Heidi issues invoices without VAT. Once you cross the threshold, you switch VAT on, with every rate and the net tax rate method too. More in the VAT guide.
How do I switch from Word, Excel or other software?
Start on the free plan and add clients and items as you write your first invoices, or import them as a list. Your old invoices stay in your previous archive. Can my fiduciary work with it?
Yes. You give your fiduciary (Treuhänder) or a second person access to your account, or export invoices and receipts in one click. Instead of a shoebox, they get clean records for the year-end accounts.
Where is my data stored?
Your invoices, receipts and client data are stored on servers in Zurich and covered by Swiss data protection law. Some features, such as AI receipt scanning, use services that partly process data outside Switzerland. You can export all your data at any time. Details on our security page.
