Magic Heidi is operated by Magic Heidi AG, a company incorporated under Swiss law with its registered office at Route de Vaux 1, 1126 Vaux, Switzerland, registered in the Commercial Register of the Canton of Vaud under UID CHE-215.620.945 ("Magic Heidi", "we", "us").

These Terms of Service ("Terms") govern your use of the Magic Heidi applications (iOS, Android, macOS, Windows and web) and our website at https://magicheidi.ch (together, the "Service").

2. Acceptance of these Terms

By using Magic Heidi, you accept these Terms and our Privacy Policy. If you do not agree, you may not use the Service. It is that simple.

3. Your account

Creating an account

You can use Magic Heidi without an account. To synchronise your data across devices, however, you must register with your email address.

When registering, you agree to:

provide accurate information;
not impersonate any other person or entity;
not transfer your account to anyone else without our permission.

Keeping your account secure

You are responsible for the security of your account. Do not share sign-in links and do not give third parties access to the sign-in provider you use. You are responsible for all activity that occurs under your account.

4. Using Magic Heidi

What you may do

Use the Service for your personal or business bookkeeping: create invoices, record expenses, manage VAT, reconcile bank transactions — the usual freelancer business.

What you may not do

break any applicable law;
share your access credentials;
attempt to reverse-engineer, disrupt or overload the Service;
use the Service to send spam or unlawful content.

If your use of the Service violates applicable law, you are not authorised to use Magic Heidi. We cannot be held responsible for unlawful use.

5. Your content and data

Your data belongs to you. Always. Everything you upload or create — invoices, expenses, receipts, client records — remains yours. Primary application data is stored on Swiss infrastructure and can be exported at any time.
Limited licence. By using the Service, you grant us the limited right to store, process, back up and display your content solely in order to provide the Service to you. That is all.
Your responsibility. You confirm that you hold the necessary rights to any content you upload, and you remain responsible for reviewing your records, filings and outputs before relying on them.
AI-assisted features. When you upload a receipt, invoice or expense attachment, we use AI to extract fields such as vendor, date, currency, VAT and amount. We do not use your uploaded receipt data to train our own Magic Heidi models, and AI processing never changes your books without your review.

6. Bank account connections (open banking via bLink)

Magic Heidi allows you to connect one or more Swiss bank accounts through bLink, the open banking platform operated by SIX, in order to automatically retrieve account information (such as account balances and transactions) and reconcile it against your invoices and expenses.

Explicit consent. A bank connection is only established with your explicit consent, which you grant through the consent process of SIX and/or your bank. You choose which accounts to connect.
Background retrieval. Where you have consented, Magic Heidi may retrieve account information periodically in the background (offline access) so that your records stay up to date without you needing to be signed in.
Read-only. We retrieve account information only. We do not initiate payments from your account, and we never see or store your e-banking credentials — you authenticate directly with your bank.
Revocation. You can revoke a bank connection at any time, either within Magic Heidi or with your bank. Revocation stops all future data retrieval; data already retrieved remains part of your accounting records, subject to the retention rules in our Privacy Policy.
No banking services. Magic Heidi is not a bank and provides no banking services. Your bank remains solely responsible for your accounts, and the completeness and accuracy of retrieved data depend on the data supplied by your bank.
Future features. If we introduce payment initiation features in the future, we will inform you in advance and obtain any additional consent required.

7. Subscriptions and payment

Free version

Try Magic Heidi free of charge with up to 3 invoices and 3 expenses. No credit card required.

Pro subscription

Pro costs CHF 39 per month or CHF 299 per year, including Swiss VAT where applicable. You choose your billing cycle at checkout.

How billing works

You are charged in advance.
Subscriptions renew automatically at the end of each cycle.
Cancel at least 24 hours before renewal to avoid being charged.
After that point, the subscription fee is due.
If you simply forgot to cancel, contact us — we will gladly refund the amount and cancel the subscription. We are humans.

Free trials

We may offer free trials. When a trial expires, you will be charged automatically unless you cancel. We will always inform you of the expiry date. We may change or discontinue trial offers at any time.

Price changes

We may change subscription fees. Changes take effect at the end of your current billing cycle, and we will notify you in good time before any price increase.

Payment processing

All payments are processed by Stripe or by the app store through which you downloaded Magic Heidi (Apple App Store, Google Play, Microsoft Store). We never see or store your payment card details.

8. Termination

How to cancel

Cancel your subscription in your device settings (iOS: Settings > Apple ID > Subscriptions; Android: Google Play > Subscriptions) or, in the web version, via "Subscription" in the bottom-left corner.

What happens to your data

After cancellation, you keep access until the end of your billing period. Thereafter, we handle your data in accordance with our Privacy Policy: data we no longer need is deleted or restricted when your account is closed, while records subject to statutory retention obligations (such as accounting and payment records) may be retained for as long as the law requires.

When we may terminate

We may suspend or terminate accounts that violate these Terms or engage in fraudulent activity. Where possible, we will try to notify you in advance.

9. Third-party services

App stores. Magic Heidi is available through the Apple App Store, Google Play and other stores, each with its own terms that you must follow. Where store terms conflict with ours, the stricter terms apply.
Banks and SIX. Bank connections depend on your bank and on the bLink platform operated by SIX, each of which applies its own terms and availability.
External links. Our Service may link to third-party websites. We do not control them and are not responsible for their content, privacy practices or policies. Use external services at your own risk.

10. Intellectual property

Our content. Magic Heidi, our logo and the app design belong to us. You may not copy, modify or redistribute them without permission.
Your content. You retain all rights to your content. By using the Service you simply allow us to store it and display it back to you.

11. Disclaimers

To the extent permitted by law, Magic Heidi is provided "as is" and "as available". We work hard on security, availability and correct results, but we cannot guarantee uninterrupted availability, freedom from errors, or fitness for every specific purpose.

Magic Heidi helps you organise business records, create invoices and process expense information. The Service does not constitute legal, tax, accounting or investment advice. You remain responsible for reviewing your records, filings and outputs before relying on them. For complex situations, consult a professional.

12. Limitation of liability

To the extent permitted by law, we are not liable for indirect, incidental, special, consequential, punitive or exemplary damages, nor for lost profits, revenue, goodwill or data.

Our total liability for claims relating to Magic Heidi is limited to the amount you paid us for the Service in the 12 months preceding the event giving rise to liability.

Nothing in these Terms limits liability that cannot be limited under applicable law.

13. Disputes and governing law

Between users

We are not obliged to intervene in disputes between users, and you release us from claims arising out of such disputes.

Between you and us

We hope to resolve any issue directly — contact us first at hello@magicheidi.ch.

These Terms are governed by Swiss law. The exclusive place of jurisdiction is the registered office of Magic Heidi AG, subject to any mandatory statutory venues.

14. Changes to these Terms

We may update these Terms. If we make material changes, we will inform you via the app or by email. Continued use after changes take effect means you accept the new Terms. If you do not agree, stop using Magic Heidi.

15. Language

Magic Heidi serves freelancers across Switzerland, and we provide support in German, French, Italian and English. These Terms are issued in English; versions in other languages are translations for convenience. In case of discrepancies, the English version prevails.
