For creatives in Switzerland

Invoicing for Creatives: Billing for Photography, Video & Social Media

Always on the move, lots of jobs, zero admin overload. From the camera straight to a paid invoice.

Magic Heidi invoice list for creatives

You're a photographer, videographer, graphic designer or social media manager. Your day is made up of shoots, editing sessions, briefings and content deliveries — not bookkeeping.

But at the end of every week, unpaid jobs pile up. Usage rights were forgotten. The monthly retainer invoice for client B still looks like a 2021 Word template. Adobe Creative Cloud was a "business expense" — but where's the receipt?

Magic Heidi was built for exactly this situation: Swiss creatives who want to invoice quickly, professionally and correctly — without an accounting degree.

FAQ

Frequently Asked Questions from Creatives

What flat-rate VAT applies to photographers in Switzerland?

Photographers in Switzerland can use a flat-rate VAT of 5.1%. Instead of the standard 8.1% VAT rate, you settle your VAT using the simplified flat-rate method and only pay 5.1% of your turnover to the SFTA. Acquisition tax on foreign digital services (Adobe CC etc.) must still be declared separately.

What flat-rate VAT applies to graphic designers and advertising agencies?

Graphic studios and advertising agencies use a flat-rate VAT of 5.9%. This rate applies to graphic design, communication design and agency services. Again, this is significantly below the standard rate of 8.1%.

How do I correctly list usage rights on an invoice?

Usage rights should appear as a separate line item, distinct from the creative work. Example: 'Product shoot — CHF 800' and below 'Usage rights: 1 year, digital, DACH territory — CHF 400'. Specify in writing what period, media and territory the rights cover. Magic Heidi lets you save standard line items and reuse them.

Can I bill the shoot and usage rights on the same invoice?

Yes, that's the standard practice. Just create separate line items on the same invoice: one for the production work (shoot, editing, etc.) and one for usage rights. Be as specific as possible in the usage rights description: duration, medium (print, online, social), territory.

How do I set up monthly retainer invoices for social media management?

In Magic Heidi you can create an invoice template and reuse it every month. Save all fixed line items (monthly social media management fee, content production x posts, community management) as a template once — next month, only the date and invoice number change. No more copy-pasting.

Do I need to pay acquisition tax on Adobe Creative Cloud?

Yes. If you are VAT-registered and use digital services from abroad (Adobe CC, Shutterstock, Canva Pro, Envato etc.), you owe acquisition tax at the Swiss VAT rate. This is declared separately in your VAT return. Even if you use the flat-rate method, acquisition tax is still due separately. Magic Heidi helps you capture foreign expenses separately.

When do I become VAT-liable as a photographer or videographer?

You become liable for VAT once your annual turnover exceeds CHF 100,000. Below that, you are exempt — but you can register voluntarily, which makes sense if you have significant deductible expenses. The flat-rate method also offers simplified accounting options.

Can I invoice German or Austrian clients in EUR?

Yes. Magic Heidi supports multiple currencies. For B2B clients in the EU (with a valid VAT number), you apply the reverse-charge mechanism: you invoice without Swiss VAT and the client self-assesses VAT in their country. You keep the client's VAT number as evidence.
